Description
Provides administrative support for Library operations, including tracking and following up on projects, performing accounts payable functions, ordering library materials and supplies, organizing, coordinating, reviewing mail and referring to appropriate staff or individual to handle, and preparing for public and staff meetings.
Work schdule is Tuesday through Saturday every week. Library staff work Wednesday through Saturday from 9 a.m. to 6 p.m. Tuesdays staff rotate either working 9 a.m. to 6 p.m. or 10 a.m. to 7 p.m. Library staff are off Sundays and Mondays since the library is closed.

Provides exceptional customer service to internal and external customers.
Provides administrative support for librarians; conducts research activities and projects as assigned.
Prepares cash receipts; prepares daily and monthly reports and deposits; ensures security of public funds.
Plans, organizes and manages work activities related to purchasing, preparing and maintaining all library materials.
Orders library materials in multiple formats including books, magazines, books on CD, movies on DVD, electronic audiobooks, eBooks and supplies, and online databases; verifies packing shipments and packing lists; and maintains a database of items on order and items received.
Performs accounts payable functions for the Library; serves as a liaison to library vendors; resolves issues with vendors and suppliers including billing issues; processes invoices for payment.
Assists with processing, cataloging, classifying, and entering library materials into the Library catalog.
Handles files, documents, retention, storage or deleting of information and records.
Prepares monthly and annual reports.
Keeps track of supplies, and orders more as necessary.
Assists patrons with service requests in person and by phone.
Helps train other library staff in policies, processes, and programs of the Library.
Provides appropriate information to the public and staff.
Assists at the Circulation Desk when necessary.
Initiates and suggests ideas for the successful completion of work. Tactfully and pleasantly informs the public of Library policies.
Regular and consistent attendance for the assigned work hours is essential.
Performs other duties as assigned.
PERIPHERAL DUTIES
Troubleshoots malfunctions with library equipment and technology.
Attends workshops to update and improve knowledge and skills.
Will be cross-trained in other library functions.

Typical Qualifications
Necessary Knowledge, Skills and Abilities
Ability to maintain confidentiality as required by state law. Working knowledge of office management systems and basic office procedures. Some knowledge of accounts payable functions in an office environment. Skill in operation of listed tools and equipment; excellent written and verbal communication skills. Proficiency in the use of computers and related equipment, hardware, and software. Typing skills equal to 30WPM. Thorough knowledge of the English language. Ability to establish and maintain effective working relationships and to function effectively as a team member. Ability to take direction willingly. Ability to cooperate and communicate with people. Ability to deal tactfully and courteously with people. Ability to determine priorities and to coordinate activities to accomplish objectives without close supervision and be able to multi-task. Must pass pre-employment drug screening, criminal background, and reference checks. Must be able to work a flexible schedule, including evenings and weekends.
Minimum Education, Experience and Certification
A. Associates degree or an equivalent combination of education and experience.
B. One (1) year administrative assistant experience and/or training that includes customer service, communication and organizational skills in a comparable environment; or an equivalent combination of education, training, and experience.
Preferred Qualifications
College degree
Experience working in a library setting.
